PRIVATE EVENT RENTAL AGREEMENT – BOOK BUS
This Private Event Rental Agreement (“Agreement”) is made and entered into on this date by the above-mentioned and:

Collectively referred to as the “Parties.”
1. PAYMENT TERMS
Standard Rental Fee (90 minutes): $150.00
A non-refundable deposit of $50.00 is required to reserve and hold the event date.
The remaining balance of $100.00 is due on the day of the event, prior to the start of the event.
Owner reserves the right to cancel or refuse service if full payment is not received as agreed.
Additional Time
If Client requests additional time beyond the standard 90 minutes:
Each additional 30-minute increment is $50.00.
Additional time must be requested in advance and is subject to Owner approval.
Payment for additional time is due on the day of the event.
2. TRAVEL POLICY
The standard rental fee includes travel within a 30-minute drive radius from the owner’s business location (Hickman Road/Warrior Lane, Waukee IA).
3. DEPOSIT AND CANCELLATION POLICY
The $50.00 deposit secures the event date and compensates the owner for reserving that time.
If the Client cancels more than 24 hours before the scheduled event, the deposit may be transferred to a future date or refunded at Owner’s discretion.
If the client cancels within 24 hours of the scheduled event, the $50.00 deposit is forfeited and will not be refunded.
4. PARKING AND SITE REQUIREMENTS
Client agrees to provide a safe, legal, and accessible parking space that meets the following minimum requirements:
The parking area must allow safe entry and exit for the bus and must comply with all local laws and property rules.
If adequate space is not available upon arrival, Owner reserves the right to cancel the event without refund.
5. CLIENT RESPONSIBILITIES
Client agrees to:
Ensure sufficient space for safe setup and operation
Ensure guests respect the property and staff
Be responsible for any damage caused by the Client or guests during the event
Maintain a safe environment free from illegal activity
6. DAMAGE OR LOSS
Client agrees to be financially responsible for any damage, theft, or excessive cleaning required due to the actions of Client or guests during the event.
7. LIABILITY
Client acknowledges that participation in the event is voluntary. Owner shall not be liable for injury, loss, or damage to persons or property during the event, except where prohibited by law.
8. WEATHER POLICY
Safety is the top priority. Weather conditions may require cancellation or rescheduling.
The owner reserves the right to cancel or reschedule the event due to unsafe weather conditions, including but not limited to: severe storms, lightning, high winds, ice, snow, extreme temperatures, or hazardous road conditions.
If the Owner cancels due to unsafe weather, Client may choose to:
If the client cancels due to weather concerns more than 24 hours prior to the event, the deposit may be transferred to a future date.
If the client cancels within 24 hours due to weather, rescheduling may be offered at the owner’s discretion, but the deposit is otherwise non-refundable.
9. OWNER RIGHTS
Owner reserves the right to:
Refuse service if conditions are unsafe or illegal.
End the event early without refund if the Client or guests behave in a dangerous, illegal, or abusive manner.
10. RETAIL ENVIRONMENT AND RIGHT TO REFUSE SERVICE
The client acknowledges that the mobile book bus is a retail environment. The owner reserves the right to refuse entry or service to any individual who:
Appears intoxicated or under the influence of drugs or alcohol
Behaves in a disruptive, unsafe, aggressive, or inappropriate manner
Poses a safety risk to staff, guests, or property
Violates any laws or event rules
The owner may remove such individuals or terminate the event early if necessary to protect safety and property. No refunds will be issued in such cases.
11. GOVERNING LAW
This Agreement shall be governed by the laws of the State of Iowa.
12. ENTIRE AGREEMENT
This Agreement represents the entire agreement between the Parties. Any changes must be made in writing and signed by both Parties.
